POSITION PROFILE:
The Executive Assistant will provide comprehensive support to our President & CEO and the EVP, Business Development & Strategy. The role will oversee the administrative operations of the DSI corporate office. This is an opportunity to play a pivotal role in enabling the President & CEO to focus on driving the strategic vision of the company to achieve the goal of $1 billion revenue within 5 years. This role will require understanding on how to maximize efficiency, have strong attention to detail, and the ability to handle sensitive information with confidentiality as well as strong leadership skills and the ability to multitask effectively.
RESPONSIBILITIES:
- Maintain and manage the President & CEO's complex schedule, including appointments, meetings, and travel plans. Anticipate the CEO’s needs and proactively address them
- Serve as the gatekeeper for the President & CEO's time, screening and prioritizing requests to ensure focus on high-impact activities and ensuring timely responses
- Liaise with the Executive Teams and external stakeholders to ensure smooth communication and follow-up
- Proactively address scheduling conflicts and prioritize tasks to ensure the President & CEO's time is allocated effectively
- Coordinate and prepare agendas, materials, and logistics for meetings, presentations and conferences
- Manage the EVP Strategy & BD's calendar, including scheduling meetings and travel arrangements
- Conduct research and compile data as needed for various projects and initiatives
- Assist in drafting and editing documents, reports, and presentations
- Handle confidential information with discretion and professionalism
- Assist in personal tasks and projects as requested by the President & CEO
- Manage special projects
- Oversee daily office operations, including managing supplies and equipment
- Coordinate office maintenance and repairs as needed
- Serve as a point of contact for internal and external stakeholders, vendors, and visitors
- Other duties as assigned
WHAT YOU’LL NEED TO BE SUCCESSFUL:
- Bachelor’s degree in business administration or related field
- At least five (8) years of work experience, five of which has been in supporting C-Level Executives.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks and be adaptable to competing demands.
- Strong interpersonal skills and the ability to build relationships with executive level staff including Board Members and other external partners.
- Excellent verbal and written communication skills.
- Ability to work independently.
- Discretion and confidentiality in handling sensitive information.
- Attention to detail and accuracy in all tasks.
- Strong problem-solving skills and ability to address issues effectively.
- Must have U.S. Protected Individual status.
IDEALLY, YOU’LL ALSO HAVE:
- Familiarity with working in ITAR environment
- Fluency in the French language
